Safeguarding Process

We work tirelessly to gain verification checks on all our candidates ensuring the safety of children in their care and that both they and the Schools are happy with the bookings.

The registration process can sometimes seem longwinded but all stages are necessary to make sure that everyone who works for Smile is a top quality, trustworthy candidate.

Firstly, we conduct a quick pre-screen telephone interview with all candidates, where we find out a bit about what they are looking for, book them in for a face to face interview, read through their CV and check the Childrens Barred List.

Then the face to face interview at our offices takes approximately an hour, during which the consultant talks through their CV in detail, identifying their areas of expertise and the type of work they enjoy. This means we can effectively place candidates in Schools where they will be happy and productive. Schools benefit as our detailed knowledge of the candidate means we can get a good fit with the School.

We also run through our expectations so everyone is aware of the high standards that we demand and that the current Smile employees adhere to. The candidates then complete the rest of the paperwork (5 year address history for DBS, disqualification through association form, update service consent etc.).
Also at this point we take sight and make copies of all relevant proof of identification documents- passport/birth certificate,driving licence, proof of name change (if applicable),NI proof, address proof (dated within the last 3 months), qualification certificates, copies of previous DBS and payment for us to complete new DBS checks. Also overseas police checks if relevant.

We then chase references, check QTS numbers, send off for DBS checks/check the update service.

All candidates must have a minimum of two full relevant references. We do not count work dates as a full reference as we like to know how the candidates are in a work environment- where their strengths lie and full details as to how they interact with children, so we are well informed to place them and match Schools requirements.

Once we are satisfied that we have everything we need, the consultant and two members of the compliance team check the folder  before we sign them off as ready to work

Our safeguarding procedure does not stop after the initial registration, we obtain new references for our candidates yearly to keep track of how they are doing. We log regular feedback from schools so that we can provide both the candidates and schools with useful, recent, relevant feedback.
